Data Protection Policy

How the society uses personal data held for the waiting list and plot holders, the rights people have over that data, and how requests for CCTV footage are handled.

Purpose of Data

Data will be requested for the waiting list and in order to contact allotmenteers regarding matters pertaining to the allotment site or their allotments.

Right of Access

People on the waiting list and allotmenteers have the right to access and receive a copy of their own personal data and other supplementary data. If, in the supplementary data, any details of third parties are shown or indicated, these will be redacted.

Right to Rectify

People on the waiting list and allotmenteers have the right to correct or complete their data at any time.

Right to Erase

People on the waiting list can request that their data is erased and this will be done as soon as practical. Requests can be made verbally or in writing.

Erasure of Data

In the case of allotmenteers, erasure of their data will usually occur one year after surrendering or leaving their allotment. This is to ensure clearance of their allotment can be managed satisfactorily and any possession returned.

Information Commissioner's Office

In the event of the Information Commissioner's Office becoming involved, Norbury Park Horticultural Society will fully cooperate.

CCTV Footage

People have the right to request CCTV footage of themselves. They need to make a request to NPHS which owns the CCTV system on its site at 260 Norbury Avenue, Norbury, London, SW16 3RL. This can be done either in writing or verbally.

The person requesting the CCTV footage must tell NPHS that they are requesting information held about themselves under data protection law. The Information Commissioner's Office (ICO) has guidance.

The person making such request must provide the following:

  • A specific date and time,
  • Proof of their identity,
  • A description of themselves.

NPHS will endeavour to provide the footage free of charge within 1 calendar month. If there is an unavoidable delay the person requesting the footage will be notified.

Most CCTV footage is deleted 10 days after it is recorded.

NPHS might not be able to share footage if:

  • Other people are seen in it,
  • NPHS is unable to edit out people to protect their identity.

NPHS can invite the person requesting the footage to a viewing of it if:

  • We are able to provide the footage itself,
  • The person making the request agrees to the arrangement.

NPHS can decline a request if sharing the footage could put an ongoing criminal investigation at risk. Advice from the Police or other law enforcement agency will be abided by.
